JOB SUMMARY
The ideal candidate will be responsible for maintaining and managing records and archives, ensuring compliance with relevant policies and regulations. This position reports to the Assistant Records Supervisor.
KEY PERFORMANCE AREAS
THE INCUMBENT SHALL BE RESPONSIBLE FOR:
- Draft job adverts.
- Schedule interviews.
- Maintain employee records (e.g. vacation and sick leaves).
- Do preliminary screening of resumes and job applications.
- Perform secretarial duties in interviews and disciplinary hearings.
- Participate in staff training and development activities
- Weigh letters and put appropriate postage fees.
- Collect registered articles and parcels from the post office for processing and distribution.
- Scan letters using a copy scan for easy retrieval and safe keeping of records.
- Archiving and retrieving of records from National Archives of Zimbabwe.
- Make requests for franking machine units and stamps from the post office.
- Sort out incoming mail and distribute to their respective sections.
- Organizing, filing, and maintaining physical and electronic records.
- Assisting in the retrieval of records and documents as requested.
- Ensuring accurate data entry and record-keeping practices.
- Supporting the implementation of records management policies and procedures.
- Conducting regular audits of records to ensure accuracy and completeness.
EDUCATION, KNOWLEDGE AND SKILLS
- At least 2 A Levels.
- IPMZ Diploma in Human Resources Management or equivalent /A Diploma in Records and Archives Management or a related field.
- 2 Years working experience
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Office Suite and records management software.
- Excellent communication skills, both written and verbal.
- Advanced excel
